Studio Hire Terms & Conditions

 

Cancellation Policy

  • Cancellations (48 Hours Notice or More)
    If you cancel more than 48 hours before the start of your scheduled hire, you will receive a 80% refund of your booking charge.

  • Cancellations (Less Than 48 Hours Notice)
    Cancellations made less than 48 hours before your scheduled hire will not be refunded.

  • Rescheduling
    If you reschedule with less than 48 hours’ notice, a 25% rescheduling fee will apply.

Hire and Payment Terms

  • Payment in Advance
    Studio hire must be paid in advance. Additional time is subject to availability and must be paid for at the end of the rental period if not included in the initial booking.

  • Additional Time Charges
    Fees for additional time that was not initially booked will be due at the end of your session.

Rental Time

  • Prompt Start and End Times
    Rental time begins promptly at the scheduled start time and ends promptly at the scheduled end time, regardless of delays in arrival by you or your party.

  • What’s Included in Rental Time
    Rental time includes load-in, setup, tear down, and cleaning. The studio must be vacated by the scheduled end time, so please factor in time for these activities when booking.

Equipment and Space

  • Basic Studio Lighting
    Basic studio lighting is included with your hire. For additional lighting, you may hire equipment from our partner, Lightchasers Rentals.

  • Lighting Setup and Tear Down
    Clients are responsible for setting up and tearing down studio lighting.

  • Backdrops
    Pre-installed paper backdrops (olive green, beige, black, light blue) are included with your rental. Colors may vary.

  • Cyclorama Wall
    The cyclorama wall will be in great condition at the start of your rental. Please take care not to damage it.

    • If the cyclorama floor is marked in any way, a $140 repaint fee will apply.

    • If the cyclorama is damaged (e.g., impact damage, cracks, or damage from dragging furniture), a $800 repair fee will apply.

  • Cleaning and Additional Fees
    We request that you clean the studio before you leave.

    • Small or hard-to-clean materials (e.g., confetti, hair cutting, feathers, food products, body paint) require prior approval from a company representative.

    • A $60 additional cleaning fee may apply depending on the condition of the studio after use.

Parking

  • Parking Rules
    Parking in the car parks of other businesses in the complex is not allowed and may result in your vehicle being towed. Please use on-street parking if no designated parking is available.

Rules and Conduct

  • Smoking and Vaping
    Smoking and vaping are not allowed in the studio. Projects involving smoke effects require prior consent from a studio representative.

  • Music Levels
    Music should be kept at reasonable levels to avoid disturbances.

  • Substance Use
    No one will be admitted who is under the influence of alcohol or illegal substances.

  • Pets
    Pets are not allowed in the studio without prior consent from a studio representative.

  • Party Size
    The maximum number of people allowed in your party is 6 (for your group). The total maximum occupancy in the studio at one time is 12 people.

Environment and Noise

  • Studio Environment
    921 Studios is primarily a production facility and rental pickup location, not a soundstage. As a result, there may be staff, other clients, and external noise from neighboring businesses during your session.
    We strive to minimize disruptions, but please be aware that environmental factors such as rain or wind may affect noise levels.

Liability and Insurance

  • Liability Insurance
    Liability insurance is required for anyone hiring the studio. We can connect you with our insurance broker to help arrange a quote.

  • Electrical Equipment
    If you bring your own electrical equipment (e.g., laptops, lighting, portable spa baths), it must be electrically certified and display a valid test & tag sticker.
